Eastwood Boosters Club Meeting
Friday, April 17, 2009


Meeting Convened at 6:00 P.M. with the passing out of an agenda.

In Attendance: Cindy Long, Mark Meyer, Aaron Yates, Carrissa Vinson, Stephen Fox, Kem Todd, Nancy Meyer, Denny Justice, and Rachelle Justice.

After reviewing the minutes of the previous meeting held on March 13, 2009, a motion was made by Rachelle Justice to accept the minutes of the previous meeting into record. Carrissa Vinson seconded the motion. The vote to accept these minutes into record was unanimous.

Aaron Yates gave a financial report. After writing a check for the deposits needed for the 3rd Grade Jet Boat Field Trip, we have a balance of $2,088.08 in the Boosters account. Rachelle Justice submitted cash donations from the Schwan’s Truckload Fundraiser held on Friday, April 10th. Those donations totaled $28.56. The Boosters Club will be receiving a check from Schwan’s for approximately $53.82 (10% of total sales) from that event.

Updates:

1. Steve Fox gave an update on the application process for the 501(c)(3) designation of the boosters club. The application has been finished and after review, it will be submitted through an expedited service process. By the end of this up coming week, we could have our designation.
2. Steve Fox gave an update on the two grant proposals that are in process. The first is 75% complete. It requests a $28K grant be given to the Eastwood Boosters Club. The second grant proposal is for $75K. Upon completion of these two grant proposals, and their anticipated
acceptance, Eastwood Boosters Club could start the fall school year with a net balance of over $100K from grants alone.
3. Carrissa Vinson organized and held a car wash during the Spring Break at
the Dutch Bros. parking lot on Diamond Lake Hwy. They were able to raise $140.00. She is looking into various locations for future car was fundraisers. The vacant gas station on the corner of Garden Valley and Mulholland Dr. would be a great location. She is considering holding these car wash fundraisers every Monday or every other Monday beginning the middle of June. These events could also incorporate bake sales and a drink stand. Possibly once a month Schwan’s could incorporate a truckload fundraiser as well.
4. Cindy Long gave an update on funds for Camp Hancock. They currently have $12,000 and change. The trip is scheduled for May 11th through May 14th. No additional funds are foreseen being necessary for this year’s trip.
5. Updates were given on field trips planned for the 1st through 3rd Grades. No deposits will be necessary for the 4th Grade trip to Salem/State Capital. The 1st and 2nd Grades are planning a trip to Wildlife Safari during the parks “Bear Awareness” program. Carrissa Vinson is looking into the cost of the field trip. The school would be sending approximately 48 1st Graders and approximately 65 2nd Graders at a cost of $7.50 per student. This is the guided tour admission fee. Chaperones are admitted for free. The field trip my need to be paid for at least one week in advance. Foreseen cost is $847.50 for admission and $198 (estimated) for the busses.
6. A rummage sale and bake sale benefiting the Eastwood Boosters Club will be held at the Fox residence on Saturday, April 18th. Donations of items to be sold and baked goods are still being accepted. Leftover chocolate bars will also be available for sale to try to clean out what was left from the 5th Grade candy bar sale. Since the candy bars have all been paid for, it is straight profit from here on out for the remainder of candy bars.
7. Cow Paddies for Cash tickets went home last week with the 5th Grade students. They are $20.00 for a square. Due to unforeseen complications in printing, Ms. Long was unable to secure the $5.00 tickets that had originally been requested. Steve Fox volunteered to print up and organize a tracking system for the $5.00 tickets and make them available for sale at the rummage sale and at the Sock Hop (April 24th). Kem Todd volunteered to sell $5 tickets. Mark Meyer will try to secure a cow to have on exhibition at the Sock Hop to bolster ticket sales. It was made clear that the proceeds from this fundraiser are to go into the schools Student Activities Account and is not a Booster’s Club fundraiser.
8. Suggestions were made for improvement and enhancement of the Boosters Club website. It is Steve Fox’s intention to make it as user friendly as possible and offers everything a person would want in a home page. He will check with the District about their policy on websites and their contents. Links will be added to the school’s primary home page and to the PTO’s web page. It was suggested that sponsorships be offered to local businesses of web pages and/or field trips. Further discussion on how this will be operated will be discussed at future Booster’s Club meetings.
9. The Eastwood Elementary PTO has decided to give up the Campbell’s Labels for Education program. Currently we hold a balance of 1800 credits and they have no expiration date. The Booster’s Club will take over the Labels for Education program. Kem Todd has volunteered to coordinate this program for the Booster’s Club.
10. Eastwood Booster’s Club now has an eBay ID to begin selling on eBay. Rachelle Justice will organize and post items for sale on eBay and on Craig’s List. She is also looking into how to create an eBay store, for the Booster’s Club, that would feature all items for sale by the Booster’s in one place. Due to current computer challenges, it may take a few weeks to get items posted.
11. Nancy Meyer made mention that this is Eastwood Elementary School’s 30th year of attending Camp Hancock. She thought that the club should make mention of this to the News Review for a possible interest piece in the paper. She also will get a list of people that need thanking for various donations to Rachelle Justice who will make out and send these “thank you’s” out as well as mentioning a “Kudos” in the News Review.


Meeting was adjourned at 7:10 pm. The next meeting of the Eastwood Booster’s Club is scheduled for Friday, May15th at 6:00 pm.
